This policy covers the Simplexar website and its contact form. Simplexar decides how the information described here is used, and Simplexar is responsible for it. If you have a question or request about your personal data, write to contact@simplexar.com.
What you send through the contact form
The form asks for your name, your email address and a description of your project. The company field is optional. We need the required fields to understand your request and to reply to you.
Please share only what we need to talk about your project. Do not send passwords, payment details or sensitive personal information through the form.
What else is saved with your inquiry
Along with what you type in the form, the site saves the language of the page, the address of the page where you sent the form and the time you sent it. The time is saved in UTC, the world’s standard time. The site also notes which version of this policy applied at that moment.
Your browser may tell the site which page you came from. This is called the referrer. If it does, we keep a shortened copy of that address with its secret parts removed. If the page address has UTM tags (labels that show which campaign brought you here), we save them too. We do not store your IP address in its original form with the inquiry. An IP address is the number that identifies your internet connection. We also do not store the user-agent, the text your browser sends to describe itself.
Why we use this data
We use your inquiry to reply to you and to discuss your project. The law requires a reason for using personal data, called a legal basis. Depending on which law applies, our legal basis is one of two. Either you asked us to take steps before a possible contract, or we have a legitimate interest in answering requests people send us.
Sending the form does not mean you agree to marketing. We do not send newsletters, and we will not add your address to a mailing list.
Where inquiries are stored and who sees them
Inquiries are saved in the website’s own WordPress database. This database is on the site’s hosting, the server where the website runs. Only Simplexar staff who have been given a special permission can open inquiries.
The site does not forward inquiries by email. We read them in the site’s admin area and reply to you from our own mailbox. Staff with that same permission can download inquiries as a CSV or JSON file to work with them. These are common file formats for tables and data.
Spam protection
The form has a hidden field that people do not see but bots tend to fill in. It also has a minimum time for filling in the form and limits on how often requests can be sent. For these limits, the site turns your IP address into a short-lived scrambled code, called a hashed key. The key is kept for up to one hour and then deleted.
The form has no CAPTCHA, the “prove you are not a robot” test. We do not pass your data to any outside anti-spam service.
How long we keep inquiries
By default, we keep an inquiry for 24 months after the last activity on it. The site administrator can change this period. After that, the inquiry is deleted or anonymized, which means everything that could identify you is removed.
Site backups may still contain an inquiry until newer backups replace them. How often backups are made and how long they are kept depends on the hosting.
Cookies and analytics
With your consent, we use Google Analytics 4, a Google service, to count visits and see which pages people read. On your first visit, a banner asks whether you accept analytics cookies. Cookies are small files a website saves in your browser. Until you press “Accept”, the site loads nothing from Google and sets no analytics cookies. If you decline, the site works the same.
If you accept, Google Analytics sets two cookies on this site: _ga and _ga_Q3GDYSCRZJ. They recognise your browser on later visits for up to two years. Google receives the page address, the page you came from, the time of the visit, details about your browser and device, screen size, language and your approximate location based on your IP address. We look only at summary reports that combine many visits. We do not use them to identify you, and we do not use them for advertising. Advertising storage and personalisation stay switched off.
The legal basis for analytics is your consent. You can change your choice at any time with “Cookie settings” at the bottom of every page. If you withdraw consent, analytics stops and the site deletes the _ga cookies it can reach.
Your choice itself is saved for 12 months in your browser’s local storage. This is a small storage space inside the browser on your own device. It keeps the banner from appearing on every page. Your choice is not sent to us or to Google.
Analytics data is kept for the period set in our Google Analytics account. Google may process it outside your country, including in the United States, under its own terms and safeguards.
The contact form does not use cookies. Fonts, scripts and images load from this site itself. The only exception is the analytics script, and it loads only after you agree. Simplexar staff who sign in to the admin area get standard login cookies. Visitors do not get these.
Hosting logs
The hosting systems that run this site may keep a record, or log, of each request your browser sends. It can include your IP address, the address you asked for, the time and information about your browser. These logs are separate from contact form inquiries. What is logged and how long it is kept depends on the hosting provider and its settings.
Other services and product websites
The contact form is not connected to any CRM, a system for managing customer contacts. If we connect one in the future, we will update this policy before any inquiry data is sent there.
AverDesk, FinanceFlow365, EvoluteMe, Kartoteq and BeaverFlow have their own websites with their own privacy policies. The Zaebix app has a separate privacy policy page. This policy does not cover accounts, payments or usage data in those products.
Your rights
Depending on the law that applies to you, you can ask to see the data we hold about you. You can ask us to correct or delete it, to limit how we use it, or object to its use. You can also ask for a copy of your data in a format you can move to another service. And you can complain to a data protection supervisory authority, the official body that oversees how personal data is handled.
Send requests to contact@simplexar.com. Before we share or change anything, we may need to confirm that you are who you say you are. If the law requires us to keep certain records, this can limit what we delete. To export or erase inquiry data, we use the personal data tools built into WordPress.
Changes to this policy
The date at the top of this page shows when we last updated the policy. If the way the site handles personal data changes, we will update this page. The English, Ukrainian and Russian versions describe the same handling of data.
Cookies for analytics
With your permission we use Google Analytics cookies to see which pages people read. Nothing is set until you accept, and the site works the same if you decline. Details are in our Privacy policy.
